When using any of our Services you consent to the collection, transfer, modification, storage, disclosure and other uses of your information as described in this Privacy Policy. Irrespective of which country you reside in or supply information from, you authorize PeopleX Inc.(hereafter referred to as “PX”) to use your information in Japan and in any other country in which our partner companies operate.

PX respects your privacy and pays close attention to the management and protection of personal information.

1. Personal Information

Personal information is considered as any information that can be used to uniquely identify or contact an individual. We collect and use your information below to provide our services, and to measure and improve them over time. Information Collected Upon Registration: To process and keep track of your applications with companies, you create an Active Connector account and provide personal information, including but not limited to your name, username, password, date of birth, visa status, gender, and email address. Additional Information: You also provide us with information via online, over-the-phone or in-person consultation, filling out forms, correspondence through messaging/email and sharing your resume with us. We may use your contact information to send you information about our Services or to market your profile to prospective employers.

2. Purpose of using personal information

The personal data and sensitive personal data will be stored, processed, used and disclosed by us in the following ways.

To provide our recruitment services to you and to facilitate the recruitment process

To assess data about you with vacancies which we determine may be suitable for you

To send your information to clients in order to apply for jobs or to assess your eligibility for jobs

To enable you to submit your CV, apply online for jobs or to subscribe to alerts about jobs we think may be of interest to you

To market our full range of recruitment services to you (permanent, temporary, contract, outplacement and recruitment process outsourcing services)

To enable us to develop and market other products and services, improve our customer service, and make our services more valuable to you (including tailoring our website and our group companies’ websites when you log on to enrich your personal online experience)

To send you details of reports, promotions, offers, networking and client events, and general information about the industry sectors which we think might be of interest to you

To answer your questions and enquiries

To share with third parties where we have retained them to provide services that you or our clients have requested, such references, qualifications and criminal reference checking services, verification of the details you have provided from third party source, psychometric evaluation or skill test

To share with third parties who perform functions on our behalf and who also provide services to us, such as professional advisors, IT consultants carrying out testing and development work on our business systems, research and mailing houses and outsourcing partners

To share with regulatory or law enforcement agencies if we believe in good faith that we are required by law to disclose it in connection with the detection of crime or, the collection of taxes or duties, in order to comply with any applicable law or order of a court of competent jurisdiction, or in connection with legal proceedings

To use your information on an anonymised basis to monitor compliance with our equal opportunities policy

3. Providing personal information to a third party

We reserve the right to transfer your information to a third party in the event of a sale, merger, liquidation, receivership or transfer of all or substantially all of the assets of our company provided that the third party agrees to adhere to the terms of this Privacy Policy and provided that the third party only uses your Personal Data for the purposes that you provided it to us. You will be notified in the event of any such transfer and you will be afforded an opportunity to opt-out. As a general rule, PX does not provide personal information to a third party without the consent of the user. However, in the following occasions, not conflicting with the applicable laws and regulations, we may provide personal information without the user’s consent.

When it is judged that the user exerts a disadvantage to a third party.

When we are required to disclose personal information by the agency which has the authority, such as a court, public prosecutor’s office or the police.

When we are asked to provide or disclose to any third party which is explicitly admitted by the user.

When the provision or disclosure is permitted by law.

4. Exemption clause for providing personal information to a third party

In the following occasions relating to the acquisition of personal information by a third party, PX will not take any responsibility.

If the personal information provided by the user is used in an external site which is linked from our service.

If anyone other than the user obtains the user’s identifying information (ID · password, etc.)

5. Personal information management

The personal information that you provide to us (including sensitive personal information) may be accessible by PX employees, clients, and the third parties specified above. Some of these PX employees, clients and third parties are located outside Japan. Accordingly, your personal information will be sent to or be capable of being accessed from outside Japan. When we transfer your personal information outside Japan we will take steps with the aim of ensuring that your privacy rights continue to be protected as outlined in this Privacy Policy. Your information is held on servers hosted by us or our Internet Services Provider. The nature of the internet is such that we cannot guarantee or warrant the security of any information you transmit to us via the internet. Personal information that has been provided to the companies upon the consent of the users is managed in accordance with the rules on personal information management established by the applicant companies.For each company, PX strives to properly manage personal information within the scope of the purposes of use.

6. Accuracy of personal information

PX strives to make accurate data processing of the personal information users provide. However, users should take the responsibility for providing accurate and up-to-date personal information.

7. Restriction on acquiring sensitive personal information

PX does not request and record the following personal information. However, this does not apply if the user voluntarily provides it.

Political views and religious beliefs.Race, ethnicity, family origin, physical and mental disability, criminal history, and other social discrimination.

Matters related to acts of collective action and other collective bargaining.

Participation in group industrial action, the exercise of the right of petition, and other matters relating to the exercise of political rights.

Sexual orientation and health.

8. Management of personal information

In order to prevent the loss, misuse and modification of personal information under PX’s control, PX is committed to taking appropriate security measures. General users cannot get access to others’ personal information.

9. Google Analytics uses Display Advertising

The Google Analytics features we have implemented are based on Display Advertising (e.g., Remarketing, Google Display Network Impression Reporting, the DoubleClick Campaign Manager integration, or Google Analytics Demographics and Interest Reporting). We use data from Google’s Interest-based advertising or 3rd-party audience data (such as age, gender and interests) with Google Analytics. Visitors can opt-out of Google Analytics for Display Advertising and customize Google Display Network ads using the Ads Settings.

10. Changes to this Policy

We may revise this Privacy Policy from time to time. The most current version of the policy will govern our use of your information. Any changes to this Privacy Policy will be posted on this website so you are always aware of what information we collect, how we use it, and under what circumstances, if any, we would disclose it.If at any time we decide to use Personal Data in a manner significantly different from that of which is stated in this Privacy Policy, or otherwise disclosed to you at the time it was collected, we will notify you by email, and you will have a choice as to whether or not your information can be used in accordance with the updated policy. By continuing to access or use the Services after those changes become effective, you agree to be bound by the revised Privacy Policy.

By consulting with PX consultants via online meeting, phone, or in-person, you agree to this application policy.

PX collects personal information that is voluntarily provided to us. Wherever appropriate, PX will request further supporting documents and other personal information to support ongoing applications.

You agree to PX’s privacy policy (located on the PX Website), which PX will follow for the collection of personal information.

Upon your application, you give consent to disclose your information to:

Any companies that we deem your profile a suitable match for if you agreed to this

Other recruitment companies whose positions are listed on PX website

PX’s recruitment partners who perform functions on our behalf and who provide services to us including but not limited to professional advisors, IT consultants working on our business systems, research and mailing houses, and outsourcing partners.

The disclosure of the company’s identity is at the discretion of PX’s internal screening process and our respective agreements with the company.

To protect members and the integrity of the application process, direct communication with companies introduced by PX is strictly prohibited unless otherwise instructed or arranged.

You are prohibited from posting anything about the application process in any public domain.

Prompt responses to messages will be reciprocated by our team who endeavors to respond as soon as possible. If within 1 week, no reply is received, PX will assume you are not interested and will discontinue your application process accordingly.

Once an interview with a company is set, you agree, in good faith, to commit to attending the interview at the scheduled day and time. In the event that you are unable to attend the interview, you will endeavor to provide 48-hours notice.

To assist us to support your application process, please inform us about ongoing applications and interviews that have not been introduced by PX. This is to ensure there is no duplication of efforts.

PX does not provide any legal advice on labor or immigration laws. Any information shared by our consultants in this manner should not be taken as legal or immigration advice. Where appropriate, however, PX will provide translation support for those who receive a job offer through our introduction.

To prove your legal status in Japan, please provide evidence of your visa (residence card; passport visa; etc).

If you are to use our service to apply to a company, as a requirement of the Ministry of Health, Labor and Welfare, we are required by law to record your residential address in Japan.

If you are the recipient of a scholarship, please disclose any work restrictions that apply. PX does not take any legal or/and financial liability in case your scholarship is terminated due to job hunting/job offers.

You agree to disclose any conflicts of interest or matters which may impede your ability to be considered for roles which you apply for through us.

Please note that any violation of the above policies may result in an immediate termination of our services to you along with any ongoing applications.
